  Share a document

To share an existing Google drive document that you own with others, first figure out who you would like to share it with and follow the appropriate instructions below:

To share with a specific list of medportal users

To do this, you will need a list of medportal email addresses of the users you wish to share it with. Once you have this list, you can follow these directions to share your document with the people on this list.

  1. Open the document you wish to share in medportal by clicking "google drive" and clicking the name of the document to be shared.
  2. Click the "Share" button.
  3. Click "Invite people..."
  4. In the "Invite:" field, type or paste in the email addresses of the people you wish to share it with. Be sure that they are separated in some way (comma, semi-colon, carriage return) so Google knows when one email stops and the other starts.
  5. Click either "To edit" or "To view" depending on whether or not you want these invitees to be able to make changes to your document.
  6. (Optional) You may type in the "Message:" field a message that will appear in the automatic notification email sent to all of these users, informing them that you have shared this document with them.
  7. Click "Send"

The users you invited will now receive an email informing them that they have been granted access to the document, and it will now appear in their list of docs within medportal.

Share with all of medportal

You may select one of your documents to be shared with all of medportal, but they will not be notified automatically. You will need to share the link to your file manually. The recommended place for this is in medportal forums. See below for instructions.

  1. Open the document you wish to share in medportal by clicking "google drive" and clicking the name of the document to be shared.
  2. Click the "Share" button.
  3. Click "See who has access..."
  4. Beside "Private - Only you can access", click the word 'Change...'
  5. Decide if you want all of medportal to edit your file, or just be able to view it. Click the appropriate option.
  6. Click "Done"

Your document has now been opened for people at medportal to view (or edit, depending on your choice), however, you will still need to share the link with them, as they will not receive notification of the share automatically. Here are instructions on how to do this:

Getting the link (URL) to your document for distribution

  1. Open the document you wish to share in medportal by clicking "google drive" and clicking the name of the document to be shared.
  2. Click the "Share" button.
  3. Click "Get the link to share..."
  4. Highlight the entire link in the "Share this link via email or IM:" field. Copy and paste it to a secure location that you will remember (or directly into the medium you are using to post it if you want to skip a step)
It is recommended to use medportal forums to post your link if you would like it to get to as many members as possible. See our forums section for more information on how to use the medportal forums.
